Purpose of this Policy
This Whistleblower Policy is established to:
- Encourage staff, volunteers, partners, beneficiaries, and other stakeholders to report concerns about actual or suspected unethical conduct
- Provide clear channels for reporting such concerns
- Ensure protection against retaliation for individuals who make good-faith reports
- Establish procedures for investigating reported concerns
- Promote a culture of accountability and continuous improvement within our organization
What to Report
We encourage reporting of any concerns related to:
- Financial irregularities or misuse of funds
- Corruption, bribery, or fraud
- Violations of our code of conduct or ethics policies
- Environmental violations or unsafe practices
- Discrimination or harassment
- Conflicts of interest
- Any other illegal or unethical conduct
How to Report a Concern
If you have a concern about potential misconduct, you can report it through any of the following channels:

- Mail: Submit a written report to our office address, marked “Confidential – Whistleblower Report”
- In Person: Speak directly with a designated staff member responsible for whistleblower reports
Reports may be made anonymously, though providing your contact information may help us investigate the matter more thoroughly.
Information to Include in Your Report
To help us address your concern effectively, please include:
- A detailed description of the concern or incident
- Date(s), time(s), and location(s) of the incident(s)
- Names of individuals involved or witnesses
- Any evidence or documentation that supports your concern
- How you learned about the issue
- Any steps you have already taken to address the concern
- Your contact information (optional)
How Reports Are Handled
When a concern is reported:
- Receipt: All reports will be promptly acknowledged (if contact information is provided)
- Initial Assessment: The report will be reviewed by designated personnel to determine appropriate next steps
- Investigation: A thorough and impartial investigation will be conducted
- Resolution: Appropriate action will be taken based on investigation findings
- Follow-up: The whistleblower will be informed of the outcome (if contact information is provided)
All reports will be kept confidential to the extent possible, consistent with the need to conduct an adequate investigation.
Protection for Whistleblowers
3E Africa strictly prohibits retaliation against individuals who make good-faith reports of misconduct. Retaliation includes:
- Termination or adverse employment action
- Demotion, suspension, or reassignment
- Exclusion from activities or opportunities
- Harassment or intimidation
- Any other adverse treatment
Individuals who believe they have experienced retaliation for making a report should immediately contact our whistleblower email address.
False or Malicious Reports
While we encourage reporting of genuine concerns, knowingly making false or malicious allegations may result in disciplinary action.
Responsibility and Review
The Board of Directors is responsible for overseeing this policy. The policy will be reviewed annually to ensure its effectiveness and compliance with applicable laws and regulations.
